Oracle Recruiting Cloud - What Hiring Managers Can Expect

When Oracle Recruiting Cloud (ORC) launches on October 5 to 6, hiring teams will begin using a centralized, cloud-based recruitment tool that will be replacing the current Career Portal, Google recruitment folder and manual resources (e.g. manual screening spreadsheets). Essential cutover/transition activities will occur between September 22 and October 13 to ensure a successful migration to the new system.

What actions are required from hiring managers in preparation for go-live? How will my current/upcoming postings be impacted by the implementation?
Review last week’s article detailing important reminders on how the ORC implementation may impact upcoming and active job postings and what actions may be required from you depending on your hiring circumstances.
What can a hiring manager do in ORC when we go live?
To ensure that the system meets the needs of our community, ORC’s enhanced functionality will be rolled out in phases. When the new system goes live in October, hiring managers can:
- View active requisitions that were not closed as of Sept 30 and have been moved from Career Portal to ORC (Note: postings that have active posting dates in both systems will require screening and selection processes aligned to both systems. Where possible consider, adjusting posting close dates to Sept 30 to simplify the hiring process).
- Review and validate your job posting draft and advertising quotes (if applicable)
- Leverage the system’s screening functions to help view, sort, and filter applicants to your postings
- Move your candidates through stages of recruitment within the system
- Upload documentation and add notes to files/requisitions to maintain records and compliance in one location
- Receive automatic notifications when an action is required from you
- Communicate directly with your hiring team and TAIR within ORC
- Upload interview results and feedback through candidate selection
- Initiate online reference checks and review automated results directly in ORC
- Check the real-time status of your requisition and candidate
- Initiate, review and approve offer letters digitally through ORC (Note: APS is no longer used for initiating any offers on postings that are entered through ORC)

When will my access to the Career Portal discontinue?
Your access to the Career Portal will cease upon your posting closing or upon transition to ORC. For any postings that were active in the Career Portal, refer to your Recruitment Folder to review candidates and supporting documents. In most cases all postings will have closed by Sept 30 or will be transitioned into ORC as of Oct 6.
Depending on your job posting deadlines, hiring managers may need to access both ORC as well as the current Recruitment Folder to complete the hiring process. Shared Services will provide guidance on how to navigate both system related process flows if it is necessary for your situation.
What aspects of the recruitment process are changing?
For the majority of your hiring needs, ORC provides a “one-stop shop” to help you manage your hiring activities within one central system and ensure compliance with records management practices. Stay tuned for more details on the best ways to use ORC to streamline your hiring-related activities.
Some of the steps for recruitment will be updated in October to align with the features and functionality in ORC.
What about the other systems we use as part of the hiring process, like APS and eForms? How are they impacted by ORC?
APS and eForms will remain status quo as they continue to be used for hiring scenarios and other administrative processes that proceed outside of ORC. While we encourage hiring teams to use ORC to take advantage of its features and benefits, there may be unique scenarios where using our other hiring processes make sense. Further guidance will be provided to hiring teams on what scenarios might need to follow current practice.
